Managing Users

The MetricStream Manage Users feature allows you to assign individual users to specific work groups. In MetricStream portal, these functional work groups are known as Responsibilities. By assigning specific responsibilities to specific users, you can match user access to job function and skill level. You may decide to give some user’s access to a number of MetricStream components, and other users ac­cess only to a few. Initially, the System Administrator is responsible for setting up the user profiles and for communicating user login, password, and access information to the appropriate persons.

You can find different responsibilities that correspond to the various components that creates the Met­ricStream application.

The following table provides a summary of each responsibility.

Responsibility

Description

Client Administrator

Client Administrators have Manage Users access, which allows them to view, create, edit, and disable user profiles.

Note: All logged-in users can view and work with their personal pro­file by using the My Profile button from the main menu.

Alert Managers

This responsibility is to assign a particular type of alert action for example, email, page, or fax to a specific infolet and a specific user. Alert Managers must also establish thresholds- when reached, trig­ger the alert. Alert Managers do not require special skills, apart from familiarity with the applications that are associated with the infolets.

Infolet Manager

This responsibility allows a user to view, edit, create, and disable individual, group, and composite infolets. Infolet managers can also assign Infolets to particular users and groups, and can sched­ule Infolets to run on selected dates and times. Infolet Managers should have a good working knowledge of Structured Query Lan­guage (SQL) and of the client applications that your company want to monitor.

Dashboards

This responsibility allows users to view, create, edit, and disable charts and graphs that are associated with the Infolets to which they are assigned.

On Demand

This responsibility allows the users to view, create, edit, and disa­ble reports that are associated with the Infolets to which they are assigned. It also allows users to execute actions to which they have been assigned.

Process Flow Designer

This responsibility allows a user to access the separate Metric­Stream ProcessFlow designer application.

Data Manager

Data managers have authority to create tables and enter data by using MetricStream forms. You can use these tables to develop Infolets for use with Process flows.

Assignment Manager

Assignment Managers can view and reassign any event assigned to any user. This is useful when an important event is assigned to a user who is not available. Assignment Managers can also work on events assigned to other users by reassigning the event to them.

Document Manager

Users who are provided this responsibility also should be provided with the My Documents responsibility. Users who are provided with the My Documents as well as the Document Manager responsibility can access the Documents tab in the main menu bar, perform an advanced search for all documents, and manage life cycles, access groups, categories, and roles.

Note: The My Documents and Document Manager responsibilities are available only if the Document Management System application is installed.

My Documents

Users with this responsibility can access the Documents tab in the main menu bar and use it to view and work with their own docu­ments.

Application Administrator

Users with this responsibility can access the Administration tab in the application, where the user can configure organization infor­mation.

Setup Out of office

Users with this responsibility can access the Set up Out of office button in the My Profile page and use it to setup the out of office dates and the corresponding reassignments to specific users dur­ing the out of office period.

Disallow self-manage pass­word

Users assigned this responsibility are not allowed to change their passwords.

When a password expires, a user with this responsibility cannot login to the application. The user should obtain a new password from the system administrator.

Note: This responsibility is not enabled for system administrators and Client Administrator. If this responsibility is enabled for system administrators and their passwords expire, their passwords cannot be reset by anyone including system administrators.

Disable Reports Tab

Select this check box if you want to disable Reports tab for a par­ticular user or users. If you select this check box along with the On Demand check box, then the user gets on-demand responsibility with no access to Reports tab. With this combination of responsi­bilities, the user is not able to customize the reports even though the user is the owner of the report.

Disable Dashboard Tab

Select this check box to disable Dashboard tab to a particular user. When you select this check box, the Dashboard tab is hidden. Therefore, the user cannot create and edit dashboards. However, the user can only view dashboards.

Production Reports

Select this check box to enable the Production Reports tab for a particular user or users. If you select this check box, users can:

l         Create new production reports

l         Edit production reports

l         View all production reports
